Monthly Board Meeting
April 6th, 2000
President Roger Wales called the meeting to order at 7:10 PM at the Kauri Investments, Ltd. office located at Fairview and Denny, Seattle, WA.

Opening Comments:
The May 3rd (Wednesday) board meeting will be at Karl Seeger’s home.
Chris Linder offered to host the June board meeting.
Lucetta Lightfoot requested we have future board meetings at one central location every time. The Mercer Island Community Center was suggested as a central meeting location. Since there is no food available for dinner, it was suggested we have pizza delivered. Steve Niver suggested we meet at the Roanoke Inn, on Mercer Island, where we can order dinner. No decision was made until we talk to Lance.
Tom Cox will be taking over as the Membership Chairman.
Regarding the Lambright Medical Foundation, Roger reported we are waiting for K&K Insurance carrier to get back to us.
The German Used Cars/Owners Club Network both want to link to our website. Dale will look into this.
General Meetings:
See Lance’s Report:
The VRM open house went well. 141 people attended. About 100 members and 40 guests. I’m sure that many of the guests walked away very impressed with this club. We posted a ton of pictures of the event on the web site. It got a lot of hits. Maybe Dale can elaborate. I thought it was nice to get "party pixs" right up for people to see.
The Pre-Grid open house on April 22nd is next up for me. Agenda is firming up.
New Member Meeting on June 24th has been announced. We’ll talk about a loose agenda at the next board meeting.
E30 M3 Tech Session on Sunday, June 25th. The word is out. I have 16 E30 M3 guys so far on my list.
If this E30 event goes well, I might do a similar thing for 2002’s in the fall.
I have made contact with Chris Bowl with ICSCC having a BMW car corral at the race at SIR on August 6th. Chris says they have done this in the past with other car clubs. They appreciate the exposure.
I am keeping a table of club people that have come to various events this year. I thought maybe the new membership chair could keep this current for future events. See the attached word document. And maybe this thing is better done in an Excel file. Maybe we can give out a prize to the member (non board member) with the best attendance at the end of the year.
Comp packets sent out for March was 46. A little down from last month. Dale’s printable membership application form on the web site is working well. We get a couple members a week via that.
I understand from Bill Buchanan that around 24 are going down to PIR this Friday.
30th Anniversary Celebration:
David needs a $500 deposit. The restaurant will accommodate 75-100 people. $10/person should cover food. Our cost for souvenir hats may be $7.00 but we can charge only $5.00 and let the club pick up the remaining costs. It was suggested we do a souvenir T-shirt rather than a hat. On a poll taken of the board members, most wanted a T-shirt. Can Jill do graphics, possibly with our original logo?
Improvement Ideas:
Charity Coordinator – The article was pulled in the magazine.
Golf Outing – Still only 1 response.
Web Page Status:
Bulk e-mail advertising VRM event received huge response "hits". For each event we will do pictures for the web page, and advertise using the bulk e-mail.
Banquet:
Rick reported the Harbor Club has not sent us their check yet. We should be receiving a check from them for about $2200-2300. Rick called them earlier this week. Bill should receive their check any day. Rick will follow up with Bill to find out if he has received it yet.
Concours:
Chris reported that Jill would be working on an 11x17 poster. Jill wants to know if we can use the Roundel on the poster. David says we can use the club logo. It was suggested that we ask Steve Norman at BWM Seattle if he will sponsor trophies, or donate a flat dollar amount. Roger will talk to Steve Norman. Bill Spornitz will talk to Bancheros Glass regarding trophies. Chris was thinking of doing away with the dash plaques but Bill Linder and others agreed we need to keep them. It was suggested we sell posters at the event, and have posters to sell at the Vintage Races prior to the event. Chris needs to know what year this annual event is…and David will find out if it is the 16th or 20th annual event. Lucetta suggested we could do a refrigerator magnet for a dash plaque, similar to the one the B.C. Club had. David suggested the name of the event should be: BMW Concours d’Elegance & Heritage Festival. The B.C. Club did this and had a good response. As far as the classes in judging, it was suggested we break them up more for the 3-series. Have 4 classes or 10-15 classes. The consensus was to have more classes and not go so deep. Bill and Chris will develop a plan on different classes and bring their plan to the next board meeting.
Tours/Karting/Rally:

Tours:
"I have a deal with the Shilo Conference Hotel in Richland. They are going to hold 10 rooms at a group rate of $79.00 for a single King and $69.00 for a single Queen room. This will be for the night of June 17th. Once I sign the contract I will include it in an upcoming wine tour article for May."
Karting:
The enduro event seemed to go over well. Everyone seemed to enjoy themselves and played well together.
Rally:
There is an article in the Zundfolge explaining the "Car Club Challenge" rally set for July 8th. There is also contact information for North West Rally Council and the "Friday Nighter" rallies. Based on member response to this article I will plan a "ground school" for novice drivers or I won’t.
Track:
No report.
Treasurer:
Bill’s verbal report to Roger: "We have $12,000 in our account, with the SIR half paid, and our insurance extended to July 1st.
Roster/Membership:
Lance relayed a question to Roger regarding the comp package. Should we limit sending these out to Western Washington only? They cost us $3, and we are sending out too many. Roger will talk to Lance about going back to the older way of sending them out with bulk mailing, rather than limiting them to Western Washington only. (This will be clarified at the next board meeting.)
Greg reported we have 1129 members. The names of members with e-mail addresses have been removed from the telephone list for the Get-Out-The-Vote Campaign.
Zundfolge:
Our new issue had 5 pages of events to promote, which is great! The color of the M3 in the magazine is not very appealing. We have a good number of classified ads, and we are getting more display ads.
ACA/CCA Status:
Greg handed out the Get-Out-The-Vote-Campaign telephone lists for Board members to call our general membership.
We are waiting on our logo redesign.
The by-laws issue will wait until after April 17th, when Lucetta will be able to set up a meeting.
A Motion was made and passed that food costs incurred while stuffing ballot envelopes be picked up by the Club.
Roundabout:

Steve Niver: All this controversy is getting behind us now. It is starting to feel like it ought to again.
Lucetta Lightfoot: She distributed a revised list of board members and new addresses. She requested we have in writing what the delay should be in posting activities on the web site, before publishing it in the magazine. We need to set a policy and bring the proposal to the next board meeting. On March 20th Lucetta went to a meeting on the Vintage Race, regarding the car corral. This year it will be for three days, Saturday, Sunday and Monday. Pre-registration for car and driver will be $35.00 a pass. She suggested we buy 20 passes. We can advertise that we have a choice of days to attend and park in the corral. We can charge $15/day ticket or all three days for $35.00. A motion was made and passed that the club buy 20 $35.00 passes. A question was raised about the price for a tent space. Is it $35.00 for all three days? Lucetta will inquire and let us know, and she will decide what the costs will be and bring the information to the next board meeting. Programs will be $5.00. Can we have water bottles at the tent? Evie will find prices for personal labels on our water bottles.
David Lightfoot: Regarding the ACA/CCA issue, everyone wants what is best for the club. Great cooperative mode!
