Monthly Board Meeting
September 7th, 2000
President Lance Richert called the meeting to order at 7:00 PM at the Mercer Island Community Center.

Opening Comments:
Future Board Meetings – October 5th, November 2nd, and December 7th, will all be held at the Mercer Island Community Center. The November Board meeting will be the first one as a CCA Chapter Board meeting.
Nominations Committee Report – Lucetta reported the committee has met and posted a nominations form in the current issue of Zundfolge. They hope to meet again prior to the October Board meeting to give the Board an update on nomination responses. Lucetta will talk to current Board members to ask them their desire for continuing in their current positions.
ACA/CCA Merger Issues:
By-Laws Committee Report – Lucetta reported she received several responses to her request for our reviewing the final draft of the By-Laws. Some typographical errors were reported and fixed. An explanation was made regarding term limits, which apply to the four officer’s positions only. The term limit is two terms. Steven Niver made a motion that the Board recommends the By-Laws, which was seconded and approved by the Board.
Other ACA/CCA Transition Issues – Lance reported that Keith cannot give us specific numbers regarding the additional members we will acquire from Western Washington, but he believes the number to be approximately 550 new members, and approximately 350 from Western Oregon. The Board has asked Lance to relate to Keith we would like everyone with a Western Washington zip code receive the letter of explanation telling them they need to choose which chapter they want their membership to fall under. For members in British Columbia, we would like to ask National for a subsidy to cover the extra mailing costs involved in mailing our magazine to Canada. Lance showed the Board several versions of our Logo that Jill has been working on. By a majority vote we decided to keep the original version of our Logo. It was also reported that 390 comp packets have been requested in the past 10 months, with 60% of these coming from our Website, and 40% coming from our comp cards, and from those numbers 32-33% became new members.
General Meetings:
The Z8 Open House at BMW Seattle will be Tuesday, September 12th from 5:00 – 8:00 PM Steve Norman will have some other special cars there for our viewing.
Exeter Tech Session will be October 14th. Jim Millet requested the Board approve spending up to $100 for refreshments. The motion was seconded and approved by the Board.
Karting at Crazy Redhead will be November 12. This will be our first club event as a CCA Chapter. Rick Brown reported the cost would be approximately $50 per person for a 2-hour enduro, using 8 teams of 5 people on each team. There will be trophies and door prizes provided by BMW NA. Rick needs a deposit from Bill S. to give to Crazy Redhead.
Car Corral at IRDC Races on August 6th follow-up – the event was well attended and a fun time was had by all. (See article on KahnTeamRacing.com website for a funny re-cap of the event written by Jill’s husband, T.C.)
Other Ideas for General Meetings – Chris Linder suggested a Wine Tasting event at Esquines Wine Shop in Seattle sometime around the middle of February. She will follow up on setting a date with the Shop. Lucetta reported the attorney talk would be scheduled for either Jan. 20th or February 3rd. Jacqueline reported Hugh Golden has offered his restaurant, Simpatico, in the Wallingford area of Seattle, as a possible location for the new members meeting. The Board would like to re-name this event to attract current members as well as new members. It was suggested the event be called a "member appreciation meeting". It was also suggested we have another detailing event at Bradley’s next spring. And Harold LaMay’s open house he has once a year to view his car collection was also discussed as a possible event for the New Year. Having club members volunteer to work at his open house was also discussed.
Banquet:
Rick Brown reported the banquet would be held January 27th, 200l at the Harbor Club in Bellevue. The Casino night fee may be $2500. Rick will check with the company and find out their ideas and report back.
Track:
Jacqueline reported the last two lapping days, one in July, and one in August, both had incidents. At the July lapping day a participant blew an engine and lost coolant on the track. Another car drove into the coolant and spun. During the August lapping day a participant’s car lost its brakes. Both incidents were due to mechanical problems.
Jacqueline wants to revise the waiver given to participants before the events are held. It was suggested we have a supplement form, and get an attorney’s approval on the form.
The original plan to purchase 10 new radios will be put on hold for now. The radios cost more than expected. We can get fewer radios now and buy more in the future. It was suggested we try to get radios through a dealer for a better price. Jacqueline knows a local person who can program our old radios to work with new ones.
Jacqueline reported our Instructor group has been great! She would like to put together a "corner worker program", including a handbook, meetings, T-shirts, etc., for people who don’t want to drive at these events, but would be willing to help out. Possibly this program could be incorporated with the Instructor clinic.
The Portland Club has more drivers now and Jacqueline will work with them over the winter to help them with their program.
Tours/Karting/Rally:
Karl reported the Peninsula Tour was a fun time, even though it rained off and on a little bit. The Leavenworth Tour for September 15th has 62 registered so far, most from our Club. A group email will go out to clarify the costs.
Ken Hill sent this report on the SAV Tour set for September 9th:
"We are on for this Saturday, it looks like we have 16 vehicles registered so it is a pretty good turnout. Hopefully the weather will hold for us. Even if it’s a little wet on this side it should be dry on the east side of the Cascades. I hope that it’s clear enough to provide excellent views when we get up on the ridge. There are no X5’s currently signed up. "
Concours:
Chris Linder reported that we should get the same Robinswood location for next year.
Treasurer:
Bill reported the projection would not be $20,000 in our checking account when the CCA merger takes place, due to an insurance bill we need to pay before the end of the year. We will have money, not that amount. Bill also stated we need a policy on bad checks. The Board made some suggestions. Our signature card needs to be changed to remove Roger’s name and replace it with Lance’s. A motion was made and seconded and approved by the Board to change the signature card.
Roster/Membership:
Greg reported that CCA would take care of November renewals. It was reported that we will do the labels here for our magazine and CCA will not be doing that. We will send in our data and they are going to hand input the information into their data base system. They are changing their data base system. Greg wanted to discuss the use of E-groups, which was tabled until the next meeting so we can have enough time to ask questions and discuss it further.
Zundfolge:
David and Lucetta reported they are trying to do a budget and ad rates for the magazine. With many more copies of the magazine going out the ad rates need to increase. They are having some problems with the printer. The November/December issue will be a combined issue again.
Roundabout:
Jim – pass.
David – pass.
Lucetta – The August minutes went out with no one saying any errors were noticed. The BC Club wants to meet at a joint Board meeting when we aren’t so busy.
Stephen – Suggest we send out Holiday cards to advertisers and Club supporters like NA, AG, etc. Ask Jill to help and have the entire Board sign the cards.
Evie – Thank you Lucetta for doing the minutes from last month.

Bill S – Will be going to the Portland race this weekend (Le Mans)
Greg – Got help for contacts for daughter in L.A. area if needed regarding car repairs and maintenance.
